Resolve Document Alerts and Suggestions

Scout Research

What are Document Alerts?

Depending on your Scout Settings, our Scout Research team may reach out to you concerning your project’s information. When verifying property records, there are occasionally fields that you may decide to be contacted about. When a document has been placed for your project and the occasion arises for a field you’ve selected to be contacted about, you will receive a Document Alert. Alerts are time sensitive which is why you will receive an email and notification concerning them.

What are Project Suggestions?

Project Suggestions are very similar. Research can occur before a document has been ordered on a project. When a project is researched and there is no need for immediate attention regarding the project’s information, then it will create a project suggestion. If a Document Alert expires and goes unresolved then it will move over as a Project Suggestion so that it can be resolved in the future.

  • For Document Alerts: the bell icon in the top right corner of the screen will indicate in yellow the number of outstanding alerts you need to resolve. Click the icon to view your open alerts.

  • For Project Suggestions: since there won’e be an alert for suggestions, click on the Research tab on the navigation bar on the left side of the screen and then select Project Suggestions.

  • For Document Alerts: Hover over the alert that you would like to resolve first and click View. This will bring you to a slideout view of the alert.

  • For Project Suggestions: Hover over the suggestion that you would like to resolve  and click View.

  • For Document Alerts: You are now able to view the current outstanding alerts for your projects and select how you will like to proceed. By selecting one of the options like: Use Scout’s Data, Use My Data, or Use Both you will resolve the alert completely.

  • For Project Suggestions: you have a similar pop up that allows you to follow the same steps as an Alert to resolve them.

  • For Document Alerts: If you would like to review the supporting research documents for the alert, scroll down to the button. You’ll find a digital copy of the research under the box labeled Attachments.

  • For Document Alerts: If you have any questions or have any additional information to add, feel free to communicate directly with the Researcher assigned to your project.

Document Alerts & Suggestions FAQs

How do I know which information to choose?

Our team finds information by matching data across multiple sources. We use county records, multiple nationwide property databases including CoreLogic RealQuest and American Data Tree, Levelset’s Universal Data Graph, and more. We upload supporting documentation such as property reports to the Document page in your Levelset account. If these sources aren’t already attached as a comment on the pop-out window of your Scout Suggestion, try clicking “View All Document Details” in the upper right corner of the Alert slide-out. You will be redirected to the document page, where you can find sources uploaded as attachments. You can also contact our support team at any time for further assistance. They’re available through the inapp chat feature, via email at mail@levelset.com, or by calling our support line.

How long do I have to resolve Document Alerts?

Account administrators can set the Alert Expiration Period between 2-5 business days. Alerts pause the processing of your orders until they are resolved or expire. The Document Status column on the Alerts list page tells you how many days you have until an Alert expires. Please note: Any Alerts tied to orders with Rush Processing turned on will automatically expire after 1 business day.

What happens if an Alert expires before I can resolve it?

If a Document Alert expires, the document will go out as-is with your original information. The information that we found may still be relevant to the project and any future orders you may place, so the information we found will now take the form of a Project Suggestion, which is not tied to an order and will not expire. You can add the information to your project in zlien at any time by resolving the Project Suggestion from the project page or by going to the Action Center > Suggestions.

Can recipients correct information on documents?

Every notice sent through zlien includes a Request for Information on the cover letter and text on the document (pursuant to state statute) that requests certain information be updated if it appears to be missing or incorrect. The RFI cover letter format changes depending on the recipient and document type. The cover letters provide a website where recipients can alert zlien if information contained on a notice appears to be incorrect. If the information conflicts with what you provided, the Scout Team will contact you for review. If the information fills in missing data, the Scout Team updates the project records with the corrected information and resends the document with the updated notice.

How long do I have to resolve Project Suggestions?

Project Suggestions do not expire and can be resolved at any time. We recommend resolving them before placing any more orders on a particular project.

How can I track resolved Project Suggestions?

To see all resolved Suggestions for a project, navigate to the Project page and click the JobSight tab. To see resolved Suggestions across all projects in your account, navigate to the Suggestions tab of the Action Center, then filter the list page by Notification Status Resolved.
